Workday Student

Workday Student is the name of UBC’s renewed student information system starting in the 2024/25 academic year, including course registration for the 2024 Winter session. Workday Student replaces the former Student Service Centre as part of the school’s transition to a modern educational experience. The SSC will continue in use until August 31, 2024, for all activities related to the 2023 Winter and 2024 Summer sessions. This will serve as a foundation to support UBC’s academic mission, both today and into the future.  

What supports are available as we transition to Workday Student? 

As we navigate the transition to Workday Student, we understand the importance of providing comprehensive support to ensure a smooth and successful transition for all students. In this section, you'll find valuable resources and information designed to assist you every step of the way. Whether you're seeking guidance on navigating the new system, understanding changes to academic processes, or accessing support services during this transition period, we're here to help. Expect resources such as:   

  • Regular updates on our website, with the date of the latest update clearly indicated. 
  • Links to 'How To' guides and tutorials/videos on navigating the Workday Student platform. 
  • Clear communication regarding any changes to academic processes or requirements. 
  • Access to support services tailored to assist you during the transition period. 

Note that we are working on updating the Academic Progress Report (APR) requirements in Workday Student. Please avoid relying on the APR until further notice from the UGO. Instead, we recommend you refer to our program planning sheets to help track your degree progress until further notice. 

Rest assured, we are actively working to address any inconsistencies and provide the most up-to-date information to support your transition.

Registration (Last updated: June 4, 2024) 

What's New
  • You will complete your registration in Workday Student 
  • Your Winter session registration time is determined by your cumulative GPA 
  • Worklists are replaced with Saved Schedules
    • Find course selections by selecting 2024-25 Winter Term 1 and/or 2024-25 Winter Term 2 (selecting 2024-2025 Winter on its own will not generate any results).  
  • UBC Course Schedule (courses.ubc.ca) is replaced with Find Course Sections report 
  • You will register your preferred saved schedule for both Winter Term 1 and Winter Term 2 separately, but during the same registration period.  
  • All course pre-requisites/co-requisites/equivalencies are enforced in Workday Student.
  • The system may display an error alert that flags an issue with the activity that you are performing. Additional information about the alert can be accessed by clicking on the alert. 

You will register courses through Workday Student. You will receive an email with details and instructions on how to register for courses one or two weeks before your registration date.

What's New
  • Your degree (Bachelor of Commerce) or your degree + your option (B.Com., Option in Accounting) may be referred to as a Progam of Study (POS) in Workday. 
  • Any credentials that are not mandatory for the BCom degree such as minors, concentrations, and Co-op may be referred to as a bundled POS in Workday. 
  • Declaring, changing, or dropping an academic program while studying at UBC is called Pathway Declaration.  
  • New eligibility requirements to self-declare in the Finance or Accounting option:
    • Finance option: a minimum final grade of 67% in COMM 190, COMM 191, COMM 293, COMM 294, COMM 295, COMM 298
    • Accounting option: a minimum final grade of 60% in COMM 293, COMM 294

Just like the Student Service Centre, you will still be able to self-declare your option in Year 3 through Workday Student.  

Programs of Study that require an application or specific approval, such as the Co-op program, Dual Major in Business and Computer Science (BUCS) program, Global Supply Chain and Logistics Management specialization, Minors in Law and Society, you will still need a separate application to have them added to your Workday Student record.

Option declaration for BCom students 

Academic Progress (Last updated: May 23, 2024)   

What's Changing
  • Regardless of when you joined the BCom program, changes to the promotion requirements will apply to all students. Review these changes in https://mybcom.sauder.ubc.ca/courses-money-and-enrolment/exams-and-grades/promotion-requirements   
  • Year Level is referred to as Class Standing 
  • Academic Standing has been updated: 
    • A) In Good Standing = you can continue your studies in the BCom program because your overall average for the Winter Session is of at least 60%. 
    • B) On Academic Probation = you don’t meet good standing requirements but you will be permitted to continue with conditions that will be determined by the Faculty.  
    • C) Failed, Required to Withdraw good academic standing requirements were not met and you are required to discontinue and may not register, nor attend courses. Upon the first instance of failing, you must leave the program for at least one year and conditions for readmission will be determined. A second failed year in the BCom program (which need not to be consecutive), will result in being required to withdraw permanently from the  program.
    • D) Failed, Permitted to Continue your academic requirements were not met due to extenuating circumstances, you appealed and were granted permission to continue studying your current degree.
    • E) In Review = a temporary standing applied when administrators are missing information to make a final decision (e.g. deferred standing) 
  • Degree Navigator is no longer available. For more information, please read the section below titled ‘Degree Credit Check.
    • In lieu of the Degree Navigator, we recommend you refer to our course planning sheets to help track your degree progress until further notice.  
  • Workday Student introduces the Academic Progress Report (APR). Because we are working on updating the Academic Progress Report (APR) requirements in Workday Student, please avoid relying on the APR until further update, and refer to our course planning sheets instead 

With the introduction of Workday Student, your class standing (formerly known as year level) will be automatically evaluated. This means your class standing will update as soon as you fulfil the promotion requirements according to the new criteria found in https://mybcom.sauder.ubc.ca/courses-money-and-enrolment/exams-and-grades/promotion-requirements 

Note that the new promotion requirements at all year levels take effect in 2024. For 2023W evaluations, your year level will be determined using the criteria (former or new) that is most advantageous to you.

Degree Credit Check (Last updated: May 23, 2024)   

What's Changing
  • From May 20 to August 30, 2024, only current BCOM students with a Year 4 standing in 24S or 24W, and who have not already received a degree credit check since May 1 can request a Degree Credit Check from the UGO.

What can I use instead?

From May 20 to August 30, 2024, current BCOM students with a Year 4 standing in 24S or 24W, and who have not already received a degree credit check since May 1, can request one degree credit check. All other students are recommended to use the following tools:

If you are eligible and choose to fill out a request form below, PLEASE ALLOW UP TO TEN BUSINESS DAYS FOR YOUR REQUEST TO BE PROCESSED

Please note:

  • The report is only available to current students with a year 4 standing in 24S or 24W. All other students, please refer to the tools above.
  • The degree check will not include courses from 24W.
  • The limit of degree check requests is ONE from May 1 to August 30.
  • We are not able to issue degree credit check reports to students whose account with UBC is currently on hold.
  • Requests with incorrect or incomplete student numbers will not be processed.

Graduation (Last updated: May 23, 2024)   

What's Changing
  • If you plan to graduate in November 2024, you will still apply through the Student Service Centre (SSC). You must apply for graduation by July 31, 2024Keep in mind that this year’s deadline is earlier than in past years.
    • Due to the transition to Workday Student, we will be unable to process any late applications for November graduation sent after this July 31 deadline.
  • If you plan to graduate in May 2025, you will apply through Workday Student. More information will be posted at a later date.

  • The final exam schedule will continue to be posted at students.ubc.ca/enrolment/exams/exam-schedule.
    • For 2024S courses, log in to the Student Service Centre (SSC) to access your personal schedule.
    • For 2024W courses, log in to Workday Student at to access your personal schedule.
